Import a Tessitura list from a file

This article covers the basics of generating a file in Tessitura for import into WordFly. Please refer to the Tessitura Help System for expert guidance: v15 | v16

Importing a Tessitura lists as a CSV file is a useful workaround if your WordFly–Tessitura integration is down for any reason. WordFly will send email response data back to Tessitura as long as the list was promoted in Tessitura and includes customer number, source number, and download number in the list data.

 

Extract constituents to file for manual upload (v15)

  • Select an Appeal and check the TMS box for the Extraction.
  • Run the Extract Constituents process as usual. To promote the list and ensure that email events such as opens, clicks, and opt-outs are sent back to Tessitura, check Create Promotions Now.
  • Find the file in your TMS_Extraction_Pickup / TMS_Extraction_Output folder which you’ll find defined in T_Defaults. This will be a TM1 file and it will have the download number as part of the name (e.g., DL153.TM1). You may need to work with your database administrator if you don’t have access to the folder.
  • Open the file in a text viewer such as VS Code or Notepad. Then copy the contents of the file into an Excel CSV workbook. In Excel, adjust the contents so that the first row is your column names and subscriber data rows aligned below the first row of column names. Save your file as MS-DOS Comma Separated CSV. If your content contains diacriticals, save as CSV UTF-8 (Comma delimited).

Your CSV file name should not contain any spaces or special characters. Your CSV column names should not contain any forward (/) or back (\) slashes or quotation ("") marks.

 

 

Generate output to file for manual upload (v16)

  • Select an Appeal and check the TMS box for the segmentation set.
  • Run the Generate Output process as usual. To promote the list and ensure that email events such as opens, clicks, and opt-outs are sent back to Tessitura, check Create Promotions Now.
  • Find the file in your TMS_Extraction_Pickup / TMS_Extraction_Output folder which you’ll find defined in T_Defaults. This will be a TM1 file and it will have the download number as part of the name (e.g., DL153.TM1). You may need to work with your database administrator if you don’t have access to the folder.

Upload your CSV list into WordFly

Once you have your list ready, import your CSV file under Email > Email Campaigns or under Subscribers > Lists. Follow these instructions to import your list under Subscribers > Lists. The process is the same within a email campaign under the Subscribers tab.

 

1. Go to Subscribers > Lists

 

2. Select Create an email list

 

3. Select Import list from file

 

4. Name your file and click Continue

 

5. Select your file for import and click I’m done

  • Browse to your file.
  • Select the type of file you are importing (CSV, pipe-delimited, or tab-delimited).
  • Check the box for "First row contains column names" to help with the mapping fields step.

 

6. Map your list fields to corresponding data fields in WordFly

 

  • Data fields must be mapped for personalization in your email design to work. WordFly will automatically map as many fields as possible based on the last time you imported a list with similar fields.
  • To map fields, select "Change" on the far right. Then the middle column (WordFly Fields) will display all available data fields. Select the appropriate one that matches the data in the far left column (Your Fields).
  • You must map the WordFly "Email" field. To ensure that email responses go back to Tessitura for this list, map customer number, source number and download number .

 

7. Click Start Importing
