Activate a workflow

After you build your workflow, complete the Activate steps.

 

Activation

  1. Have you reviewed and generated your campaigns?
    These things cannot be changed once the workflow is active:
    • Check your subject lines
    • Verify that you selected the correct email design
    • Add campaign labels in the workflow builder
  2. Continue to the Activate tab
  3. Select your workflow activation settings
  4. When ready, click Activate workflow

 

Activation settings

 

For a one-time workflow, you will select…

Start date and time Set when the workflow should start sending:
  • Now
  • In the future
Email format Automatically selected based on which versions are available:
  • Multipart-MIME
  • HTML
  • Text

 

For an ongoing workflow, you will select…

How often should it run?
Set the frequency of the workflow:
  • One time only
  • Once an hour
  • Once a day
  • Once a week
  • Once a month
Send to a subscriber Set how often a person should receive the workflow:
  • One time only
  • No more than once per week
  • No more than once per month
  • Every time they meet the requirements
Email format Automatically selected based on which versions are available:
  • Multipart-MIME
  • HTML
  • Text
Start date and time Select when the workflow should start sending
End date and time Select when it should stop sending, up to one year in the future

Options while active

Pause

 

If needed, you can pause the workflow after it has been activated. Pausing will immediately stop all campaigns in the workflow from sending.

Reactivate

Reactivate the workflow after it has been paused

After a workflow has started sending, you can no longer make any changes to the campaigns, delays, or conditions. The workflow will be read-only.

However, you can edit the contents of the email assigned to a campaign at any time by going to Email > Emails. The workflow will always send the most recently saved version of the email.

After the workflow reaches the end date, it will display as Completed. It cannot be reactivated once it is complete.

 

 

View metrics

Once the workflow has started sending, the Activate tab will show the metrics for each individual campaign in the workflow. It also shows the combined metrics of all campaigns in the workflow.

View sending details

Opens the campaign detail view in the Activate tab. It shows a summary of the metrics, Settings, Email, and Recipients, plus an email thumbnail that opens a preview. Ongoing workflows will show the sending history.

View results

Opens the reporting detail in the Reporting section

Quick view

Opens a layer showing info about the campaign

 

 

Export data and metrics

To export workflow campaigns and subscribers info, go to Reporting > Export Data.

Subscribers by campaign

View who was sent a campaign in the workflow

Events by campaign

View subscriber activity for a campaign in the workflow

Metrics by campaign

View detailed metrics for one or more campaigns in the workflow

Metrics by mailing

View individual metrics of each time an ongoing workflow campaign sends

 

 

Manage workflows

 

To delete a workflow
Go to the Workflows grid and select Delete from the actions menu. Deleting a workflow will delete all associated campaigns from the Email Campaigns and Sent Email Campaigns pages.

 

To rename a workflow
Go to the Workflows grid and select Rename. You can rename it before or after it is activated. Any campaigns associated with the workflow cannot be renamed after it is activated.

 

To add labels to a workflow
Go to the Workflows grid and select Apply Label from the actions menu. You can apply labels before or after it is activated. Labels for any campaigns associated with the workflow cannot be changed after it is activated.
